PTA Money Updates from our Treasurer, Rebecca Haugh.

I wanted to touch base about money operations this year. I plan on being a lot more organized but that means I will need some help from all of you!

First, you will find an updated Expense/Reimbursement form.

Use this form when you are requesting the PTA spend money on behalf of your committee (Expense), or if you have spent your own money and would like to be reimbursed. This form + all invoices/receipts must be submitted before payment is made.

Timing – I am a working mom, just like a lot of you. I have 2 children very active in sports, just like a lot of you. Some weeks I may be able to issue payment faster than others. Please be cognizant of that when you need me to pay a vendor for an event you are planning. A good rule of thumb is 2 weeks. At a minimum, please be in contact with me 2 weeks before you need money. If we have to game plan payment, this will leave us plenty of time.

That also goes for Advances. Advances are granted on a limited case by case basis by board approval and should be requested about 2 weeks before needed. There is an Advance Request form.

Deposits that you submit must also be accompanied by a Deposit form.  Please note that the Deposit form has spots for 2 signatures. If there is more than 1 person on your committee, please have 2 people count deposits and sign off on the form.

When receiving checks from membership please check the following things:

· The check is made payable to Central Valley PTA. You have no idea how many checks I have received made payable to Andersons or Chestnut Hill.

· The date is written on the check

· There is no additional writing on checks such as things crossed out or written over

· The person writing the check matches the documentation sent in with the check.

· Our fundraisers state that we will accept only 1 check from the CV family selling items.
